How to digitalise your padel club management (without the headaches)

Most padel clubs still manage bookings over WhatsApp or phone. Here's what changes when you make the leap to a digital platform.

If you run a padel club, you probably know this scenario well: the phone never stops, WhatsApp messages pile up, and some nights you end up with three courts double-booked because of a misunderstanding. It’s not your fault — it’s the system.

The hidden cost of managing bookings manually

When a booking arrives over WhatsApp, someone has to read it, check availability on the calendar (physical or mental), reply to the player and write it down somewhere. That’s four steps for something that should take zero seconds.

Multiply that by dozens of bookings a day and the time adds up. And we’re not just talking about lost hours: we’re talking about mistakes, double bookings, players who don’t receive confirmation and show up without a reservation.

What changes with a digital platform

The main difference isn’t the technology — it’s that the process becomes automatic by default:

  • Real-time availability. The player sees which courts are free at each time slot, without having to ask.
  • Instant confirmation. The booking is created, the court is blocked and the player receives confirmation — all without human intervention.
  • Cancellations handled automatically. The player cancels from the app according to the club’s policy. The court becomes available again instantly.
  • Full calendar view. The club team sees all bookings, blocks and matches in one place.

The fear of change (and why it’s usually unfounded)

The most common objection is: “my players are older, they won’t use an app.” The reality is that digital adoption in padel has been faster than anyone expected. The sport’s growth in recent years has brought younger players who prefer booking from their phone — and veteran players adapt sooner than expected when the alternative is sending messages that take hours to get a reply.

The other common concern is the learning curve. A good platform shouldn’t require training: if you need a manual to configure opening hours or block a court, something’s wrong.

Where to start

The change doesn’t have to be radical. You can start by enabling online booking for just a few time slots, keeping the phone for players who prefer to call. In a few weeks you’ll see what percentage of bookings come through the platform — usually more than 70% in the first month.

The important thing is to choose a tool that adapts to the way your club works, not the other way around. Opening hours, court prices, cancellation policies — all of that has to be configurable without depending on a technical team.

At Reservo

Reservo is built exactly for this: making booking management invisible for the club team and simple for players. No installation, no complex integrations — the club sets up its courts and hours, and players can book from day one.
